Account and data

Delete your account and data

This page explains what happens to your account and data when you delete your Dokira account, when it happens, and how to ask for deletion. You do not need to install the app.

This explains how it works; it is not legal text. The official text is the privacy notice.

How to delete your account

1. Delete it yourself on the web

Deleting your account yourself on the web is available once sign-up opens. Until then, ask for deletion by email below.

2. Cannot sign in? Ask by email

Send an email to [email protected] from your account's email address, with the subject "Dokira account deletion request". We confirm that you own the account before deleting. Write the email only: do not attach documents, identity cards or passwords.

Email the request

This site has no form and stores nothing from your request. It reaches us only through your own email.

What is deleted, and when

Your account is you as a user: name, email, phone and sign-in. Documents and accounting data belong to your organisation, not to your personal account.

  • Name, email and phone number

    When: At once

Removed from the account. The name becomes "Pengguna dipadam" (deleted user) and the email is replaced with an address that cannot receive email, so the account can never be used again. You can register a new account with the same email later; it starts empty.

  • Password, sign-in and devices

    When: At once

The password is removed. All your sessions and devices are signed out, a Windows PC seat is freed and push notifications to your phone stop.

  • Membership of organisations

    When: At once

You are removed from all your organisations. In-app notifications and phone pairing codes that were not used yet are cancelled.

  • Confirmation email

    When: At once

One confirmation email is sent to your old email address.

  • Documents you uploaded

    When: Stay in the organisation

Documents are owned by the organisation, so they stay there and follow the organisation's retention setting (original files are deleted after 30 days by default; 0, 7, 30 or 90 days can be chosen).

  • Audit trail

    When: Kept, without a name

The organisation's audit trail keeps your user ID, but not your name or email.

  • An organisation where you are the only user

    When: 90 days

If you are the only user of an organisation (including a trial organisation), the organisation is cancelled and all its data is scheduled for deletion 90 days later: extracted data, audit trail and files. If the organisation still has a paid subscription, the subscription is set to end at the end of the billing period when the deletion runs, and the data is deleted only after the subscription has ended.

  • Backups

    When: 30 days / 12 months

Deleted data disappears from the daily backups within 30 days and from the monthly copies within 12 months.

  • Dokira's billing records

    When: 7 years

Subscription invoices and payments are kept in Stripe for 7 years after the customer leaves, for business and tax record-keeping.

  • Consent records

When: 6 years after the account is deleted

The record that you accepted the terms and the privacy notice is kept as evidence of consent for 6 years after the account is deleted.

Before you delete

  • Deleting an account cannot be undone.
  • Export the data you need first. Approved documents can be exported from the Windows app.
  • If you are the only admin of an organisation that still has other users, appoint another admin first. Until then the deletion is refused and your account stays.
  • Deleting an account does not cancel a paid subscription at once. If you do not want to be charged any more, cancel the subscription first on the Billing page.

Other people's data inside documents

Uploaded documents may contain other people's data, for example a supplier's name. Your organisation is the data user and Dokira processes it on that organisation's behalf. Requests about that data are passed on to the organisation concerned.
